2021 Track Rental With COVID-19 Mitigation Guidelines

Saratoga Speedway offers track rentals opportunities for racers to dial in their machines and get valuable seat time.  The following procedures are designed to allow for maximum benefit from a rental period for the team while ensuring safety and security for the teams and Saratoga Speedway personnel and equipment.

General Information

  • All track rentals must be secured with a valid credit card no matter the method of payment 
  • All participants rent, enter and use the facilities at their own risk; every participant must complete a waiver or youth waiver prior to entering the track surface
  • Track rentals by multiple teams are available and teams can gain value by squaring up (to a maximum of 6 cars)
  • Racing during track rental is prohibited
  • Minimum age in the infield is 12 years old
  • Each team must have a minimum of 2 (including driver) and a maximum of 5 participants
  • Each team leader takes responsibility for the participants in his or her pit
  • Alcohol and cannabis is prohibited outside the licensed area of SMP
  • Any participant showing signs of impairment or caught using impairing substances will be removed from the property and suspended for a period of thirty days
  • All drivers and participants must adhere to all safety precautions, utilize personal protective equipment such as race suits and helmets, appropriate footwear and eye protection and racecars must meet all typical safety standards that are required on race events without exception
  • All participants must answer an oral COVID-19 questionnaire upon arrival and must show staff possession of PPE (Mask)
  • Participants must bring their own food and water and not share equipment or food and water between teams (equipment may be shared only if disinfected between uses)
  • The practice session time clock starts when participants enter the infield and a 30 minute warning will be provided before the session ends; all participant racecars must be off the track surface, racecar shut-down and ready to be loaded by the end of the timed session. 
  • Participants must confirm the weather prior to arrival; rained-out sessions will be re-booked. Weather call must be made prior to session start time; once a session is started (weather decision made and participant has chosen to enter the infield and the clock started) the session will be considered as officially underway; rescheduling or refunding will not be possible   
  • All participants must clean up their pit-stall(s); garbage and recyclables deposited in the appropriate receptacles located at the infield concession, fluid stains mopped or wiped. Any team leaving behind excessive mess or waste fluids un-managed will be charged a $200.00 cleanup fee
  • Failure to comply with these guidelines and the regulations on the rental form may result in forfeiture of rental fees and prohibition from future rental and/or racing privileges at Saratoga Motorsports Park
  • Terms of use are subject to change with no notice at the discretion of SMP management

  • Fill out the form(s) and waivers as required (see below)
  • Receive confirmation of session reservation 
  • Check the weather prior to departing for SMP 
  • Make weather decision prior to entering the infield; once the session clock has begun there will be no refunds or re-booking available
  • Make COVID-19 declarations upon arrival
  • Enter the infield, follow all regulations and guidelines and commence session
  • Upon completion of session leave pit stalls clean for the next session or event (see procedure guidelines above) 

 

COVID-19 Mitigation 

The COVID-19 rules herewith are designed to keep everyone as safe as possible under the circumstances of COVID-19. We ask that everyone respect the rules, and respect each other’s personal spaces and personal safety perspectives. 

For obvious health reasons any participant’s deviation from these rules must result in their immediate removal from the facility at the discretion of Saratoga Speedway officials. There will be no acceptations; we all want to stay safe. 

   

Physical distancing and hygiene 

  • Teams use one pit stall for car and the adjacent stall for their hauler providing a minimum of one pit stall between each team
  • Driver and pit crew must stay within each other’s social distancing “bubble” in both the pit area and while observing the action; not mingling with members of another team. Two teams may co-pit provided they do not number more than 10 persons.
  • Everyone will follow the latest provincial mitigation standard as published online and found here.
  • No one should participate if exposed to COVID-19 within the previous 14 days, if experiencing COVID-19 symptoms, or if they have traveled outside of Canada in the previous 14 days. 
  • Anyone at risk for severe illness is encouraged to stay home
  • Participants should wash hands frequently with soap and water for at least 20 seconds; and/or use hand sanitizer provided at the infield washroom
  • Participants should have no physical contact with others; refrain from hugs, handshakes, high-fives, etc
  • Participants must maintain 2 meters/6-foot distance between “bubbles or persons not in their own bubble. If not possible, facemask will be worn.
  • Pit area restrooms will be open; maximum of one person at one time

 

Price: based on 2-hour session

(GST will be added at confirmation)

  • 1 car: $300.00 
  • 2 cars: $400.00 
  • 3 cars: $525.00
  • 4-6 cars: $650.00

 

Registration and Payment

  • Maximum 6 cars in one session; 
  • Call for track availability 250-702-1530
  • Registration form  to be completely and accurately filled out by one team member who will be selected as the team coordinator with the Speedway and (to be emailed at info@saratogaracing.ca )
  • Team coordinator will provide cellular phone number/text number in order to communicate electronically while at the track
  • Deposit of 50% will be charged at time of booking. Payment to be (made by e-transfer) to accounts@saratogaracing.ca prior to arrival at the track
  • Online waivers (link to waivers) to be filled out prior to arrival at the track
  • No more than 4 people per team in one session

 

Fire/Medical

  • There will be no fire or medical services available at the track during rental but services can be requested at cost; contact Carol for details. There are fire extinguishers available at every corner and at the infield concession tech pad
  • Team leader will confirm contact with Speedway representative by cellphone upon arrival and in the case of emergency shall immediately call 911 emergency services first and then will contact Speedway representative immediately following EMS contact

Waivers

Online Adult and Minor Waivers MUST be filled by everyone who will be entering the Pit area of the track.

NO ENTRY will be allowed without online waivers being completed.
